3. Purpose and Legal Basis for the Processing of Personal Data 

Purpose: Personal data is processed for the purposes of managing customer relationships, fulfilling orders, invoicing, marketing, and improving the functionality of the website. 

Legal Basis: Processing is based on the performance of a contract (customer relationship), the data controller’s legal obligation (e.g., the Accounting Act), or the data controller’s legitimate interest (e.g., direct marketing), or the data subject’s consent (e.g., for the use of non-essential cookies and analytics tools such as HubSpot). 

Different legal bases apply depending on the processing activity. For example, customer data is processed based on contract, accounting data based on legal obligation, and website analytics and cookies based on consent.

Data Sources: 

Personal data is primarily obtained from the data subjects themselves (e.g., through customer interactions, website use, and comments). This could include Name, contact information (phone number, email address) and website cookie data. 

In addition, analytics tools such as HubSpot may automatically collect technical data through cookies and similar technologies. 

HubSpot: 

We use HubSpot, a web analytics and customer relationship management (CRM) service provided by HubSpot, Inc. HubSpot may automatically collect technical data through cookies and similar technologies. This may include IP address, browser type, device information, geographic location, pages visited, and interactions on the site. This information helps us analyse and improve our website and services. 

Comments 

When users leave comments on the site, we collect the information provided in the comment form, as well as the user’s IP address and browser version information, to help identify spam. 

When visitors leave a comment on this site, we collect the information shown in the comment fields, the IP address, and information related to the browser version. An anonymized hash created from your email address may be sent to the Gravatar service to determine whether you are a user of that service. The Gravatar service’s privacy policy can be found at https://automattic.com/privacy/. 

Cookies 

If you leave a comment on the site, you can choose to save your name, email address, and URL in a cookie. This feature improves your user experience, as you won’t have to fill out the form again every time you add a comment. 

The cookie data will be deleted from your browser after one year. If you have an account and log in to the site, we will set a temporary cookie to determine whether your browser supports cookies. This cookie contains no personal information and is deleted when you close your browser window. 

If you publish an article or edit an existing one, we will store a cookie in your browser that contains the ID of the article being edited. The cookie expires after 24 hours. Non-essential cookies, including those used by HubSpot for analytics purposes, will only be activated after the user has given their consent through the cookie banner. 

Embedded content from other sites 

The articles on this site may contain embedded content (such as videos, images, articles, etc.). Opening embedded content imported from other sites is comparable to the visitor visiting the third-party site directly. These sites may collect information about you, use cookies, embed third-party tracking cookies, and monitor your interactions with the embedded content, including tracking your interactions if and when you are logged in as a user on the site.

We use HubSpot as a data processor for analytics purposes. HubSpot may process personal data on our behalf and may transfer data outside the EEA. In such cases, appropriate safeguards, such as the European Commission’s Standard Contractual Clauses, are applied in accordance with GDPR.

6. Data Retention Period 

Personal data is retained only for as long as necessary to fulfill the purposes of processing. For example, customer data is deleted or anonymised once the customer relationship has ended, and statutory retention periods (e.g., for accounting records) have expired. 

If you leave a comment, the comment and its metadata will be retained indefinitely. This is so that we can automatically recognise and approve any subsequent comments, rather than holding them in a moderation queue. 

We store the user profile information of registered users (if any). All users have the ability to view, edit, and delete their own personal information at any time. Only the username cannot be changed. Website administrators can view and edit user profile information. 

7. Rights of the data subject

As a data subject, you have the following rights: 

  • Right of access: The right to check what personal data we hold about you. 
  • Right to rectification: The right to request the correction of inaccurate data. 
  • Right to erasure (“Right to be Forgotten”): To request the deletion of your data if there is no legal basis for processing it.
